TRAVEL KLUB LLC – PAYMENT & CANCELLATION POLICY

This Payment & Cancellation Policy applies to all travel bookings made with Travel Klub LLC (“we,” “us,” or “our”). By making a reservation, you agree to the terms outlined below.

1. RESERVATIONS & BOOKING REQUIREMENTS

Reservations may be made through our website, booking platform, email, or by working directly with a Travel Advisor. All reservations are confirmed only after receipt of the required deposit and completed booking agreement. Travelers are responsible for ensuring all information provided at booking is accurate, including full legal names matching government-issued identification.

2. PAYMENTS

Deposits

A non-refundable, non-transferable deposit is required at the time of booking to secure all reservations. Deposit amounts vary by trip and will be clearly stated prior to booking confirmation.

Payment Plans

If a payment plan is selected, installment amounts and due dates will be outlined at the time of booking or in the confirmation. All payments must be made according to the agreed schedule.

Full Payment

Clients may choose to pay in full at the time of booking if space and pricing allow.

3. LATE OR MISSED PAYMENTS

Payments not received by the scheduled due date may result in:

  • Late fees (if applicable and stated in your invoice)

  • Suspension of your reservation

  • Cancellation of your booking without refund

Travel Klub reserves the right to cancel any reservation that is not paid in accordance with the agreed payment schedule.

4. CANCELLATIONS & REFUNDS

All Payments Are Non-Refundable. All payments made to Travel Klub LLC are non-refundable and non-transferable unless otherwise stated. This is due to contractual obligations with hotels, transportation providers, and other travel vendors. By booking, you acknowledge and agree that no refunds will be issued for voluntary cancellations.

Traveler-Initiated Cancellations

If you choose to cancel your trip, you must submit your cancellation request in writing via email. Cancellation is effective only once confirmed by Travel Klub LLC. Any unused services, missed travel, or voluntary withdrawal from a trip is non-refundable.

Trip Protection (Recommended)

We strongly recommend purchasing travel insurance that includes coverage for:

  • Trip cancellation or interruption

  • Medical emergencies

  • Travel delays

  • Lost baggage

5. NAME CHANGES & CORRECTIONS

All traveler names must match passports or government-issued identification. Name corrections or changes may result in:

  • Administrative fees

  • Supplier-imposed penalties

  • Possible cancellation and rebooking at current rates

Replacing one traveler with another is considered a cancellation and is subject to standard cancellation terms.

6. PRICE CHANGES

Prices are subject to change until a booking is confirmed and deposit is received. In the event of supplier cost increases (airfare, hotel, taxes, or fees), Travel Klub reserves the right to adjust pricing prior to final payment.

7. TRAVEL DOCUMENTS & RESPONSIBILITY

Travelers are responsible for ensuring they have valid passports, visas, and any required entry documentation for their destination. Passports should be valid for at least 6 months beyond the date of travel (where required by destination country regulations). Travel Klub is not responsible for denied boarding or entry due to incomplete or invalid documentation.

8. TRAVEL INSURANCE

Travel insurance is strongly recommended and may be required for certain trips. Travel Klub is not responsible for losses due to trip interruption, cancellation, medical emergencies, or travel disruptions.

9. CHARGEBACKS & DISPUTES

Initiating a chargeback without first contacting Travel Klub LLC for resolution may result in:

  • Immediate cancellation of your reservation

  • Loss of all payments made

  • Ineligibility for future bookings

We encourage clients to contact us directly to resolve any payment concerns.

10. FORCE MAJEURE

Travel Klub LLC is not liable for delays, cancellations, or changes caused by events beyond our control, including but not limited to:

  • Natural disasters

  • Pandemics or health emergencies

  • Government actions or travel restrictions

  • Airline or supplier disruptions

  • Political unrest or strikes

In such cases, refunds are not guaranteed and will depend on supplier policies.

11. MODIFICATIONS TO BOOKINGS

Any changes to confirmed bookings (dates, names, or services) are subject to availability and may incur additional fees.
