Travel Klub LLC – Terms & Conditions

By booking travel with Travel Klub LLC (“Travel Klub”), you acknowledge that you have read, understood, and agreed to the following Terms & Conditions. These Terms apply to all travelers included within a reservation.

Reservations & Payments

Reservations must be made in the traveler’s full legal name exactly as it appears on the government-issued identification or passport that will be used for travel. Travelers are responsible for ensuring all names, dates, and traveler information are accurate at the time of booking. Any corrections or changes after booking may result in supplier penalties, airline fees, cancellation, or rebooking charges, and all associated costs are the responsibility of the traveler. A deposit is required to secure all reservations. Deposit amounts, payment schedules, and final payment due dates will be provided at the time of booking. For clients enrolled in a payment plan, monthly payments must be made on or before the scheduled due date listed on the invoice. Reservations that remain unpaid without prior written approval from Travel Klub may be subject to cancellation. All payments made toward canceled reservations are forfeited and non-refundable. Travel Klub reserves the right to cancel reservations due to non-payment. By providing payment information, clients authorize Travel Klub to process payments according to the agreed payment schedule.

Pricing & Availability

All prices are subject to change until a reservation has been confirmed and deposits have been received. Pricing is based on supplier availability, airfare, exchange rates, fuel surcharges, taxes, and other factors at the time of booking. Prices are generally quoted per person based on double occupancy unless otherwise specified. Prices do not include items of a personal nature, including but not limited to passport fees, visa fees, travel insurance, gratuities, meals not specifically listed, baggage fees, laundry, beverages, or optional excursions. In the event of pricing errors caused by human, technical, or supplier-related issues, Travel Klub reserves the right to correct the pricing or cancel the reservation for a full refund.

Cancellation & Refund Policy

Personalized Travel Bookings

Deposits for personalized travel bookings are non-refundable and non-transferable. Cancellation requests for payments made beyond the initial deposit may qualify for a refund, subject to supplier policies, penalties, and restrictions. Hotels, airlines, tour operators, and other travel suppliers may impose separate cancellation fees, and clients are responsible for any applicable supplier charges. Cancellations made within 60 days of departure may not be eligible for refunds. Airfare is non-refundable and non-transferable unless otherwise stated by the airline.

Group Travel & Hosted Tours

All deposits and payments made regarding group trips, hosted tours, and special event packages are non-refundable and non-transferable. In some cases, reservations may be eligible for transfer to another traveler, subject to supplier approval and applicable fees. Transfers or name changes are not permitted within 90 days of departure unless otherwise approved. Airfare is non-refundable and non-transferable. If Travel Klub cancels a trip due to unforeseen circumstances, clients will receive a refund of payments made directly to Travel Klub, less any non-refundable supplier expenses already incurred where applicable. All cancellation requests must be submitted in writing.

Travel Documents & Entry Requirements

Travelers are solely responsible for obtaining and carrying all required travel documents, including passports, visas, identification, vaccination records, and any other entry requirements required by the destination(s) visited. Passports are recommended to remain valid for at least six (6) months beyond the travel return date. Some destinations may require additional blank passport pages for entry stamps or visas. Travel Klub is not responsible for denied boarding, denied entry, missed travel, delays, or additional expenses resulting from incomplete, expired, or incorrect travel documentation. Non-U.S. citizens are responsible for verifying entry requirements with the appropriate consulate or government authority.

Travel Insurance

Travel Klub strongly recommends purchasing comprehensive travel insurance to protect against cancellation penalties, medical emergencies, travel delays, baggage loss, supplier default, and other unforeseen events. Travel Klub is not responsible for losses incurred due to a traveler’s decision to decline travel insurance coverage.

Airline & Supplier Responsibility

Travel Klub acts solely as an intermediary between travelers and independent travel suppliers, including airlines, hotels, resorts, cruise lines, transportation providers, and tour operators. Travel Klub does not own, operate, or control these suppliers and is not responsible for their acts, omissions, delays, cancellations, injuries, losses, accidents, or service interruptions. Airlines and suppliers may modify schedules, seating assignments, itineraries, accommodations, or services without prior notice. Travel Klub is not responsible for costs or losses resulting from supplier schedule changes, overbookings, weather disruptions, labor strikes, mechanical failures, government actions, or other events outside of Travel Klub’s control. Unused portions of travel arrangements are non-refundable.

Force Majeure

Travel Klub shall not be held liable for failure or delay in performance resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, acts of God, pandemics, government restrictions, civil unrest, terrorism, labor disputes, supplier bankruptcy, transportation interruptions, or other unforeseen events. In such cases, refunds and credits will be subject to the policies and decisions of the travel suppliers involved.

Health & Safety

Travelers are responsible for understanding and complying with all health, safety, vaccination, testing, and entry requirements for their destination(s). By participating in travel arrangements booked through Travel Klub, travelers voluntarily assume all risks associated with travel, including but not limited to illness, injury, delays, quarantines, disruptions, political instability, and acts beyond Travel Klub’s control. Travelers with medical conditions, disabilities, or special requirements are encouraged to notify Travel Klub prior to booking so reasonable accommodations may be requested from suppliers, though accommodations cannot be guaranteed.

Photography & Marketing Release

Travel Klub may use photographs or videos taken during hosted trips, group travel experiences, or events for promotional and marketing purposes, including use on social media, websites, advertisements, and other marketing materials. By participating in a Travel Klub trip or event, travelers grant permission for the use of their likeness unless written notice is provided to Travel Klub prior to travel.

Website Use & Electronic Communications

Use of the Travel Klub website, Travel Klub, constitutes acceptance of these Terms & Conditions and any applicable policies referenced herein, including Travel Klub’s Privacy Policy. By visiting the website or communicating with Travel Klub electronically, including through email, text message, forms, or online booking platforms, clients consent to receive electronic communications related to reservations, invoices, travel updates, confirmations, promotional materials, and other travel-related correspondence. Electronic communications satisfy any legal requirement that such communications be provided in writing. The Travel Klub website may contain links to third-party websites or services. Travel Klub is not responsible for the content, policies, or practices of third-party websites or suppliers. All content, logos, branding, graphics, text, and materials displayed on the Travel Klub website remain the property of Travel Klub LLC and may not be copied, reproduced, or distributed without written permission.

Limitation of Liability

Travel Klub LLC shall not be liable for any injury, illness, death, loss, accident, delay, inconvenience, emotional distress, property damage, or irregularity caused by any supplier or third party providing travel services. Travelers voluntarily assume all risks associated with domestic and international travel, including but not limited to delays, illness, injury, weather disruptions, political instability, supplier default, acts of terrorism, pandemics, or other events beyond Travel Klub’s control. To the fullest extent permitted by law, Travel Klub’s liability shall be limited to the amount paid directly to Travel Klub for travel services.

Dispute Resolution

The parties agree to first attempt to resolve any disputes in good faith through informal communication. Any disputes arising from services provided by Travel Klub that cannot be resolved informally shall be governed by and interpreted in accordance with the laws of the State of Texas.

Changes to Terms & Conditions

Travel Klub reserves the right to update or modify these Terms & Conditions at any time without prior notice. The most current version will be posted on the Travel Klub website and will supersede all previous versions.

Acceptance of Terms

Submission of a deposit, payment, or completed reservation constitutes acceptance of these Terms & Conditions on behalf of all travelers included within the reservation.
